What Office Agents is: an internal application used only by Oriana Diamond (Pty) Ltd and Sky Land Sea (Pty) Ltd, with their own Google accounts. It is not available to the public.
Google data it accesses: Gmail messages and attachments in the companies' own mailboxes, to collect invoices, statements and similar business documents, to send reports to the company owners and to create email drafts; and files in the companies' own Google Drive, to read, file and update bookkeeping documents and spreadsheets.
How the data is used: only to keep the companies' VAT and stock records, file business documents, prepare reports for the company owners, and prepare email drafts to the companies' accountant. Drafts are sent only by a person at the company.
Processing and sharing: documents are read with an AI service (Anthropic's Claude API) under the company's own account, solely to extract business details such as invoice amounts. The data is not sold, not used for advertising, and not shared with anyone else except the companies' accountant when the company chooses to send it.
Storage and removal: records stay in the companies' own Google Drive and on a server controlled by the company. Access can be removed at any time from the Google account's security settings under third-party access.
Google API Services User Data Policy: Office Agents' use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
